Legal tontine receipt template (updated 2026)

Why contribution and payout receipts matter in hụi. Mandatory fields under Decree 19/2019, a copy-ready handwritten template, checklist, FAQ, and digital PDF alternatives.

Many people play hụi on “word of honor” alone. They hand cash to the organizer every period and walk away with nothing but a chat message—or nothing at all.

That habit is expensive when a chain collapses (bể hụi) or a member defaults after taking the pot. Without a receipt, you may have almost no usable evidence for police or a civil claim.

This article explains why receipts matter under Decree 19/2019, which fields are mandatory, gives a copy-ready handwritten template, a period checklist, and how digital PDFs (and even Excel ledgers) reduce paperwork pain without dropping legal hygiene.

General information only—not a substitute for advice from a lawyer on your dispute.

1. Why receipts are non-negotiable

Article 7 of Decree 19/2019/NĐ-CP expects tontine agreements to be made in writing. A contribution or payout receipt is not “bureaucracy for its own sake”—it is often the only contemporaneous proof that:

  • You paid a specific amount for a specific period
  • The organizer disbursed a pot to a named member
  • A live slot later flipped to a dead slot with a known take-home date

Verbal promises evaporate. Deletable Zalo threads are weak if someone “unsent” the key messages. Signed paper or timestamped electronic confirmations survive.

2. What a weak receipt looks like (and why courts dislike it)

Weak practice Risk
Amount in numbers only Easy to alter
No period number Cannot map to the chain calendar
No CCCD / identity fields Hard to prove who signed
Heavy erasures Authenticity challenged
One copy only Loser of the paper loses the case
Chat screenshot alone May lack context / be incomplete

A “messy napkin note” can still help—but a structured receipt is far stronger.

3. Mandatory information checklist

To maximize evidentiary value, include:

  1. Clear title — e.g. “TONTINE CONTRIBUTION RECEIPT” or “TONTINE PAYOUT RECEIPT.”
  2. Identity of both parties — full name, date of birth, Citizen ID (CCCD) number with issue date/place, permanent address, phone.
  3. Purpose — contribution (đóng hụi) or payout (lĩnh / hốt hụi); name the chain (face value + start date).
  4. Amount — numbers and words; no casual overwrites.
  5. Period / cycle number — which opening this money belongs to.
  6. Live / dead context (recommended) — note whether the payer’s slot is live or dead for that period.
  7. Date and place of the handoff.
  8. Signatures — payer and payee full-name signatures; witness signature strongly recommended.
  9. Two originals — each party keeps one identical copy.

If you use bank transfer, keep the receipt plus the statement line that matches the period ID.

4. Handwritten receipt template (copy-ready)

You can copy this structure by hand:

THE PAYER (Party A):

THE PAYEE (Party B):

Both parties confirm the above is true. Made in 02 identical copies; each party keeps 01.

PAYER (Sign & full name)  PAYEE (Sign & full name)  WITNESS (optional)

Adapt labels if local custom uses “họ / biêu / phường,” but keep identity, amount, period, and signatures.

5. Organizer period workflow (paper or digital)

Before each opening closes:

  1. Lock the winning bid and publish who is live vs dead.
  2. Compute dues (see auction formulas).
  3. Collect dead-slot payments first—they are the repayment backbone.
  4. Issue a receipt (or e-confirmation) at the moment money moves.
  5. For pot payouts, get the winner’s signature on a payout receipt before cash leaves.
  6. File copies by period; do not rely on members “keeping it at home forever.”
  7. If someone defaults later, your payout receipt is core evidence—see handling defaulting members.

6. Paper vs Excel vs app — what each is good for

Tool Strengths Limits
Handwritten receipt Familiar; easy witness signature Slow; easy to lose; math errors
Shared Excel ledger Fast totals; printable period tables Still need signatures / export discipline
Dedicated app PDFs Timestamp, consistent fields, share to Zalo Requires members to accept digital workflow

Many professional organizers combine: Excel or app for math, signed receipt or e-PDF for evidence.

7. FAQ

Are receipts required if everyone trusts each other?

Trust is not evidence. Decree 19/2019 pushes written agreements; receipts protect both organizer and members when relationships sour.

Is a Zalo message a receipt?

It can be supporting evidence. It is weaker than a signed form with CCCD fields and two retained copies—especially if messages can be deleted.

Do I need a lawyer to draft every receipt?

No for standard contribution/payout slips. Escalate to counsel for large chains, disputed defaults, or criminal filings (giật hụi penalties).

Should interest / bid amount appear on the receipt?

Yes when relevant: show face value, winning bid, live discount, and net paid. Clarity prevents later “I paid the wrong amount” fights.

What about organizer commission (tiền thảo)?

List it as a separate line if charged that period. Mixing commission into “interest” confuses both members and legal analysis of the 20%/year frame under Decree 19/2019.

Can electronic receipts hold up?

Courts increasingly accept electronic records with clear timestamps and identity linkage. Consistency + bank trails + member acknowledgment beats a missing paper trail.

8. How Huio generates compliant-style PDF receipts

Handwriting twenty slips every period burns organizers out; members lose paper at home. Huio automates the boring part:

  • Auto-generate contribution / payout confirmations as image or PDF
  • Include member name, amounts, group name, period number, and timestamp
  • Share straight to Zalo so both sides keep a cloud copy
  • Keep history searchable when a dead slot later disputes dues

9. Conclusion

A tontine receipt is your cheapest insurance policy. Under Decree 19/2019, written records are the expected baseline—not optional theater.

Use clear identity fields, amounts in numbers and words, period numbers, live/dead context, and dual signatures. Whether you stay on paper, move totals to Excel, or generate PDFs in Huio, make sure every transfer leaves a durable receipt—before the day you need one in an investigation file.
