Bank Accounts & VietQR Reconciliation
Huio integrates intelligent banking and VietQR payment reconciliation (Napas 247). When members transfer funds using VietQR, the system automatically verifies transactions and marks contributions as paid, saving organizers time and preventing bookkeeping errors.
1. Setting Up and Connecting Bank Accounts
To receive dues via VietQR, organizers configure their bank details in the application:
- Payout Account Setup: Go to Profile or group settings to specify bank name, account number, and account holder name. Huio supports major banks across Vietnam (Vietcombank, MBBank, Techcombank, ACB, BIDV, VPBank, TPBank...).
- Automated Sync Connection: Real-time transaction notifications are routed through banking gateway services (default SePay). Activation of automated sync is managed by system administrators — please contact Huio Support to enable direct synchronization.
- Unconnected Mode: If automated sync is not active, VietQR codes on member bills still function seamlessly for scanning, and organizers confirm incoming payments manually in the app.
2. Dynamic VietQR and Standard Payment Code HUI-M…
Every collection bill sent to a member includes a personalized dynamic VietQR code:
- Unique Identification Code: The `HUI-M…` reference is the member's code (optionally with the period number `-K…`), so the system knows whose payment it is.
- Preserve Reference Text: When members scan the QR code via their banking app, the account number, amount, and `HUI-M…` note are filled in automatically. Members must not modify this reference note so the system can match it accurately.
3. Auto-Reconciliation & Debt Clearance Rules
Incoming bank transfers are automatically matched and cleared when all three conditions are satisfied:
1. Bank synchronization connection is active and healthy.
2. Transfer description contains a valid recognized payment code (`HUI-M…`).
3. Transferred amount matches the amount the member still owes.
When these criteria are met, the contribution status instantly updates to Paid without requiring manual organizer approval.
4. Manual Matching (Action Needed)
Transactions that do not meet auto-confirm criteria appear under the Action Needed tab on the Bank Transactions screen:
- Overpayment or Underpayment: When the transferred amount differs from the round dues.
- Lump-sum Transfers: When a member pays for multiple slots or groups in a single transaction.
- Missing or Incorrect Reference: When a member enters bank details manually and omits the `HUI-M…` code.
- Handling Overpayments: Huio does not automatically deposit excess funds into a member's Ví Đúp balance. The organizer retains full authority to allocate remaining funds to future rounds, add to Ví Đúp, or issue a refund.
5. Degraded Mode & Financial Safeguards
To maintain absolute data integrity and security:
- Degraded Mode Alert: If bank sync encounters disruptions for ~15 minutes or records 3 consecutive errors, a warning banner appears and automatic confirmation is paused.
- Uninterrupted Operations: During degraded mode, all incoming transfers queue into manual matching for verification. Organizers can resume auto-matching once connection health stabilizes.
- Reversal Support: If a transaction is mistakenly mapped to the wrong member, organizers can revert the match with an audit reason logged in the history.
